Customers rarely forget their first impressions, which is why a well-designed contact us form is so important. As digital marketers, it is our responsibility to build contact us form that serves visitors’ needs and represents our brand.

In this guide, I will explain what a contact us form is, why you need one, and how other organizations online use contact us pages to their advantage.

What is a contact us form?

A contact us form is a form that visitors to your website fill out to contact you. These forms are usually built into your website’s theme and collate customers’ responses into a separate location for your staff to respond to privately.

Contact us forms are used by a wide range of people for a multitude of purposes. This includes:

  • Leads interested in your product or service.
  • Customers with a product issue.
  • Customers looking for technical advice or help.
  • People looking to get hired at your organization.
  • Representatives from businesses looking to collaborate with you.
  • Journalists looking for information or a public statement from your organization.

Naturally, the contact us forms are your organization’s first point of contact with many people – making a well-designed contact us form an essential part of your customer engagement strategy

Benefits of providing a contact us form

Providing a contact us form on your website benefits your customers, your customer service employees, and your organization as a whole.

1. Customer benefits

Contact us forms allow customers to reach your customer service team in seconds, giving them an instant way to contact you. Filling out a form is also safer for customers, as there is little room for human error.

2. Employee benefits

Contact us forms are also an excellent tool for customer service employees, as they dramatically reduce the amount of time it takes to resolve each case. As contact us forms collect data on the problem, customer service can assign the right representative to the case before speaking to the customer.

3. Brand benefits

At an organization level, contact us forms allow you to tailor your communication channels towards your audience’s needs. They also operate 24/7, reducing the number of calls customer service attends to during work hours.

Best practices for your contact us form

While most website themes include a basic contact us form setup, building a great contact us form is an art any digital marketer can master. To help you build a contact us form that is an asset for your business, keep these seven best practices in mind.

  1. Make your form so convenient it can be filled out in 25 seconds or less.
  2. Be transparent about how you keep customer data.
  3. Have your contact us form send the visitor a copy of their responses.
  4. Measure the success of your Contact Us page by tracking the page’s lead conversion rate.
  5. Continuously test your contact us form to ensure you are not losing responses and let customers know when the form is offline.
  6. Include alternative ways for people to contact you on your Contact Us page, including customer service phone numbers, email addresses, and links to brand-owned social media accounts.
  7. Tell visitors how long they can expect to wait before hearing from you.

Best contact us forms to inspire you

A well-designed contact us form is an asset that represents your business, connects you to the public, and keeps your customers satisfied. While the form your organization uses should represent your business uniquely, it is always helpful for marketers to see how leading organizations design their forms.

To help you get inspired, I have collected 17 of my favorite contact us forms below.

1.LiveAgent - App - Uploads - 2019 - 10 - Example Of Contact Form 3.jpg

Modern-day customers expect positive and personalized experiences at any time and on all platforms.

LiveAgent is a help desk software for managing all communication channels from a single interface. Each message is converted into a ticket and stored in the universal inbox.

The beauty of this Contact form is the freedom to choose from a wide range of different styles available in the Contact form gallery or create a custom form.

Another aspect is the interactivity level, as the customers can activate the form by clicking on the Contact button.

If the audience wants to fill out the form when they land on the website, the account user can opt for an In-page form. Check out the video of how to set up and customize the form here.

You can add multiple contact forms of various designs on multiple pages, for example, pages with high traffic, like a check-out page. Quite useful for conversions, don’t you agree?

As an omnichannel support provider, LiveAgent is dedicated to being cost-effective without cutting on efficiency. That’s why LiveAgent’s contact form can be integrated with a knowledge base

Users can write down the source page title, keywords, description and find answers to their questions, minimizing the need to submit a support ticket.

Contact forms are available in all LiveAgent pricing plans, but the customization is limited to one form only in the Free account option.

2. Brosix

2. Brosix - App - Uploads - 2021 - 03 - Image2.jpg

Brosix’s Contact Us page is beautifully designed to meet the needs of a diverse group of people. Instead of directing everyone to fill out the form, Brosix offers three different types of resources for visitors to solve their problems.

That includes ‘Frequently Asked Questions’ for customers and leads, ‘Text Tutorials’ for customers with technical problems, and ‘Video Tutorials’ for customers who are visual learners.

2. Brosix - App - Uploads - 2021 - 03 - Image4.png

If you click on the ‘Video Tutorials’ page, you will see that Brosix has embedded Youtube tutorials into their website’s knowledge base. This allows customers to work through basic problems without being directed to a separate website. If customers do need to log a service ticket, this will make the process extremely fast.

Allowing customers to help themselves is a great marketing move for Brosix, as it gives customers a high level of control over their customer service experience. To me, this is an excellent Contact Us because it suits Brosix’s products while meeting the needs of their customers.

Summary: for improved self-service, tutorials are implemented directly on the contact us page
Price: startup plan available up to 3 users, paid plans starting from $5 per user / per month
Rating on Capterra: 4.6/5 (approx. 60 reviews) as of March 25th, 2021

3. Infinum

3. Infinum - App - Uploads - 2021 - 03 - Image.png

Sometimes, the best Contact Us pages are the most simple – like this Contact Us page from Infinum. While many organizations choose to flesh-out their Contact Us page, this wouldn’t be up to Infinum’s visitors’ needs.

Instead, the digital marketing organization has chosen to play to its strengths with a simple, classic design that gives visitors three choices: “join us”, “hire us” or send the organization an email.

However, this Contact Us page is ingenious for another reason: it works globally. Infinum works with clients in the US and across Europe. Those clients speak a range of languages, including English, Croatian, German, Italian, and Slovenian.

If Infinum had chosen to make the copy on their Contact Us page more complicated, auto-translated would have butchered the Contact Us page for non-English speaking visitors.

With simple language like “hello” and “what can we help you with”, the copy on the website can be automatically translated without being misconstrued. That makes it short, sweet, and clever.

Summary: simple language and design

4. ZenDesk

4. ZenDesk - App - Uploads - 2021 - 03 - Image6.png

If there is a form that shows us the true power of a call to action (CTA), it’s this contact us form from ZenDesk. Mastering the art of a good CTA can be tricky, but ZenDesk makes it look seamless with a concise, direct, and friendly copy.

ZenDesk’s Contact Us page divides visitors into two groups: potential customers and existing customers.

Potential customers are guided into an interaction with the sales team, using language and phrases like “we’ll help you find the right products”, “your business” to soft-sell their software to new customers. That positions ZenDesk as reliable and trustworthy before new customers have ever spoken to sales.

The Contact Us page also enables a self-service option – “Go to the help center.” The existing customers, already familiar with the platform, appreciate this as it is a valuable time saver.

4. ZenDesk - App - Uploads - 2021 - 03 - Image 1.png

Although ZenDesk serves over 200,000 existing customers worldwide, they have built a Help Center that meets most customers’ needs. This reduces the number of responses ZenDesk customer service needs to answer, making it an enormous cost-cutting investment.

This help center is significant for another reason. Each page features a “get help” contact us form that makes logging a service ticket instant.

Summary: comprehensible CTAs for potential and existing customers
Price: free version available, paid plans starting from $19 per agent per month
Rating on Capterra: 4.3/5 (approx. 2.5 K reviews) as of March 25th, 2021

5. HubSpot

Hubspot free online form builder
Hubspot free online form builder

HubSpot is a full stack CRM platform that comes with a suite of powerful free tools to help you grow your business, among which is also an online form builder. You can create five different types of forms with HubSpot: standalone forms, embedded forms, popups, slide-in boxes and dropdown banners.

HubSpot Forms helps users convert anonymous website visitors into leads and collect lead intelligence into the CRM. In fact, the free CRM is one of benefits that sets HubSpot apart from other similar tools. Every time someone fills in a contact form via HubSpot, their information is automatically stored in the free CRM where sales and marketing teams can further nurture the leads.

Summary: contact and lead forms builder natively integrated with a CRM, email marketing tool, and landing page builder
Price: free version available, paid plans starting from $50 per agent per month
Rating on Capterra: 4.5/5 for HubSpot Marketing Hub (4,455 reviews) as of March 25th, 2021

6. ClickUp

6. ClickUp - App - Uploads - 2021 - 03 - Image 4.jpeg

While the tried-and-true Contact Us page is an asset for many organizations, embedding it into your website’s homepage is a go-to standard. This the model ClickUp followed, opting to put their Contact Us page content in a widget on the right-hand side of the screen.

ClickUp’s approach here is unique, as their Contact Us widget allows visitors to search through their knowledge base articles and log a ticket on the contact us form. This makes it extremely quick for visitors to find the content they need.

More broadly, embedding the contact us form into your website’s main service pages is a clever customer service move for three reasons.

  1. It reduces the number of steps visitors need to take to log a ticket, leading to more logged tickets and a higher customer conversion rate.
  2. It reduces the number of pages visitors have to sort through, reducing your bounce rate.
  3. It is mobile-friendly. Research shows that 80% of mobile users use their devices to browse the internet – meaning that contact us forms that don’t work on mobile are unusable to a significant subsection of your customers.
Summary: contact form is embedded directly on the main page
Price: free version available, paid plans starting from $5 per month
Rating on Capterra: 4.7/5 (approx. 2.1 K reviews) as of March 25th, 2021

Round the clock service

7. Invision

7. Invision - App - Uploads - 2021 - 03 - Image7.png

The best Contact Us pages are built with good user experience (UX) design principles. This means they are clean, easy to use, functional, and meet the needs of customers.

When it comes to great UX design, Invision’s Contact Us page ticks all of these boxes – simple, straightforward, and built to offer tailored solutions to customers.

As a digital marketer, I love that it includes multiple forms of contact, links to a knowledge base, and incorporates a chatbot as a form of digital customer service.

Unlike regular chatbots, Invision’s chatbot funnels customers towards the best solution for them.

As you can see below, the chatbot directs visitors to fill out a contact us form that goes directly to the relevant department. This cuts out customer service as a middle-man, leading to a quicker resolution of issues than if the system had to log all forms in a central location.

7. Invision - App - Uploads - 2021 - 03 - Image 2.png
Summary: incorporates chatbot as an addition to a traditional customers support
Price: free version available, paid plans starting from $15 per month
Rating on Capterra: 4.6/5 (approx. 600 reviews) as of March 25th, 2021

8. Pixpa

8. Pixpa - App - Uploads - 2021 - 03 - Image9.png

Notice something important at the end of Pixpa’s contact us form?

If you guessed ‘captcha,’ you would be correct!

Contact us forms are a convenient way for customers to reach you, but they are also frequently targeted by bots that send businesses thousands of spam messages.

These messages are a pain to sort through and reduce the amount of time customer service representatives have to communicate with human customers. However, you can stop these messages by placing a captcha at the end of your form.

As bots cannot process visual information like a person, they cannot pass the captcha. This prevents them from logging a service ticket – ensuring you only get service tickets from real people.

If you want to make your Contact Us page extra cyber-secure, ask visitors to complete a Captcha before they can see your customer service email addresses. This will prevent spam bots from being able to send malicious emails into your organization altogether.

Summary: enhanced cyber-security with the use of Captcha
Price: only free trial available, paid plans starting from $8 per month

9. Marvel

9. Marvel - App - Uploads - 2021 - 03 - Image 3.png

While your website doesn’t have to be flawless, thoughtful design can enhance the experience visitors have on your website. We can see this in Marvel’s Contact Us page, as Marvel has used several graphic and UX design elements to make their Contact Us page warm and inviting. This includes:

  • Using a large image to draw the viewer’s attention to the contact form.
  • Using warm and friendly colors to create a welcoming atmosphere.
  • Using a cohesive color-scheme that is fluent with their brand.
  • Using cohesive text across the site.
  • Using white space to draw the emphasize key parts of the page.

Marvel’s Contact Us page is also great for another reason – it links to the organization’s press kit. Developing a good press kit is incredibly important for businesses who retail through affiliates, appear in the media or work with investors. Your Contact Us place is always the perfect place for a press kit, as that is where visitors will expect to find it.

9. Marvel - App - Uploads - 2021 - 03 - Image 4.png
Summary: graphically and aesthetically pleasing design with a link to the organization’s press kit
Price: free version available, paid plans starting from $12 per month
Rating on Capterra: 4.5/5 (approx. 70 reviews) as of March 25th, 2021

10. Yeti

10. Yeti - App - Uploads - 2021 - 03 - Image12.png

Everyone loves a little humor, which is why this Contact Us page from Yeti deserves a gold-star for marketing. Yeti retail outdoor recreation goods, which they have chosen to market with a brand personality based around dry-humour. As you can see from their Contact Us page, it works well with their target audience and sets them aside from more conventional brands.

Yeti’s Contact Us page is also simple to navigate. The remark “while we’re good with smoke signals, there are simpler ways for us to get in touch and answer your questions” is funny but also acts as a directive, as it funnels visitors towards seven customer service options plus a contact form.

Summary: humorous phrases that showcase the brand personality

11. Moosend

11. Moosend - App - Uploads - 2021 - 03 - Image14.png

While I love a good contact us form, a standard single-page web form is not the right communication tool for every customer service department. That’s why I love this approach by Moosend.

Moosend has chosen to forgo the traditional Contact Us page in favor of a multi-page approach. As you can see above, their contact page directs visitors towards a contact us form for each department. That means visitors needing to speak with sales, technical support, and marketing all fill out different forms that go directly to the department concerned.

These forms are also available through Moosend’s chatbot (visible below), giving customers access to a mini version of the contact us form on every page of Moosend’s website.

11. Moosend - App - Uploads - 2021 - 03 - Image15.png
Summary: different form for each department

12. Brandwatch

12. Brandwatch - App - Uploads - 2021 - 03 - Image16.png

Like many of the brands in this list, Brandwatch has a global customer base who speak many languages. To ensure they can communicate with these customers from the same area, Brandwatch directs their customers towards a designated sales team for each community.

While many companies do this behind the scenes, Brandwatch wears their global status proudly – and it works to their advantage by positioning them as a multinational marketing powerhouse.

Another great feature of this Contact Us page I love: Brandwatch’s contact us form invites visitors to sign up for the email mailing list.

While most brands save the data customers submit via contact us forms, only some brands actively use their forms to recruit new subscribers to their mailing lists. When visitors fill out contact forms, they are already opening a two-way conversation with your brand. As a brand, you can keep that communication channel open long term by bringing visitors onto your mailing list.

Summary: actively invites new subscribers to sign up for the email mailing list
Price: n/a
Rating on Capterra: 3.8/5 (approx. 10 reviews) as of March 25th, 2021

13. Yummygum

13. Yummygum - App - Uploads - 2021 - 03 - Image17.png

Yummygum’s Contact Us page is a perfect example of a professional yet fun approach to customer communication.

As a digital marketing agency, Yummygum works with various clients – meaning their Contact Us page needs to be suitable for a wide range of audiences.

Like many of the best contact us forms, Yummygum has chosen to meet the needs of each customer segment by using several contact us forms. These forms are well designed, as they are casual and friendly, but collect all the data Yummygum needs when meeting a new client.

I also love that Yummygum’s Contact Us page also includes the “plan a video call” option, as it gives visitors a convenient way to schedule time with Yummygum.

Summary: suitable for a wide range of audiences
Price: n/a
Rating on Capterra: n/a

14. Basecamp

14. Basecamp - App - Uploads - 2021 - 03 - Image18.png

In a digital communication world, we tend to forget how crucial human-to-human connection is in customer care. That’s why I love this Contact Us page from Basecamp.

Basecamp’s Contact Us page is designed around the message that their customer service team is friendly, approachable, and helpful. To do this, they’ve used a pleasant graphic and phrases like “always humans, never bots,” and “friendly folks, standing by.” These are powerful marketing messages, as it builds a personal connection with visitors before they ever speak to customer service.

To design the graphic on this page, Basecamp has also drawn a little caricature of each of their customer service representatives. This is creative, as it adds a personal touch that I’m sure customers appreciate.

Summary: friendly graphic sends the message of an approachable and sympathetic customer service
Price: free version available, paid plans starting from $99 per month
Rating on Capterra: 4.3/5 (approx. 12 K reviews) as of March 25th, 2021

15. Focuslab

15. Focuslab - App - Uploads - 2021 - 03 - Image19.png

This contact us form from Focuslab is a good case of how brands can collect high-quality data on potential projects quickly. Instead of using a conventional form, Focuslab guides visitors through filling in the gaps in these sentences.

This creates a client story that gives Focuslab a complete picture of the clients’ wants, expectations, and budget. For a digital marketing firm, that information is valuable, as it allows Focuslabs to determine if they can assist the potential client with a single form.

This benefits both Focuslabs and potential clients as it speeds up the client-acquisition process.

Summary: visitors type in the answers to questions
Price: n/a
Rating on Capterra: n/a

16. Shift4Shop

16. Shift4Shop - App - Uploads - 2021 - 03 - Image 7.png

When building your Contact Us page, it is essential to tell a story about your brand. Your brand’s story acts as a form of social proof for your organization, as it demonstrates that you are reliable, knowledgeable, and experienced. The more positively visitors react to your brand story, the more comfortable they will feel with your organization.

As a digital marketer, I love the way Shift4Shop has told their brand story on their Contact Us page. This page is easy to navigate but provides visitors with a clear picture of Shift4Shop’s history, vision, and values. Shift4Shop has also provided detailed information on their executive team and their charity work and social proof from satisfied clients. This information paints a rich picture of the organization and builds a positive impression that will stick with visitors.

Shift4Shop gives visitors four departments to contact at the end of the page – human resources, sales, support, and public relations. This drives visitors towards the correct department for their inquiry, reducing the number of customer service responses.

16. Shift4Shop - App - Uploads - 2021 - 03 - Image21.png
Summary: not only a contact form but a social proof that provides information about the company

17. Kyleads

17. Kyleads - App - Uploads - 2021 - 03 - Image 8.png

Nothing is more important than building trust with your customers, which is why it’s essential to use good cybersecurity practices on your Contact Us page.

That’s why I love this Contact Us page from Kyleads. Kyleads have opted to give visitors a chatbot, a simple form, and an email address to contact them on. For each of these, they have taken well-researched cybersecurity precautions.

First, their chatbot is protected with captcha technology – which prevents non-human visitors from logging a response.

Second, their email address is listed without the “@”, which prevents the email address from being spammed by bots.

Last, Kyleads have chosen to be upfront with their data management practices by directing visitors to their privacy policy.

I love this approach, as it creates full transparency between Kyleads and their visitors. As trust and transparency are the foundations of a healthy brand-customer relationship, this Contact Us page is an ideal customer service tool for Kyleads.

Summary: transparent and trustworthy
